View a School Calendar in Outlook

This tutorial will walk you through adding a school calendar to view in your outlook. This is only to view events within a school calendar. You will not be able to edit school calendar events unless you have been given permission to do so. You can request events to be added to the school calendar, which you can learn how to do in the tutorial called “Request an Event on a School Calendar”.

To get started, first determine what version of Outlook you are using. If you are logging into Outlook through the district website, follow the instructions under the Outlook Email. If you are running an installed version of Outlook on your desktop or laptop computer, you can find the version that you are using by going to your Start Menu > All Programs > Microsoft Office, and there you will see if you have 2007 or 2010 installed. Follow the instructions below for the version of Outlook you are using.

Note: If you’re using a laptop computer, you must be connected to the district or school network to use the Outlook 2007 or 2010 desktop applications. If you are not able to do that or you are away from the district or school, you must use the Outlook Email here (https://mail.slcschools.org/owa).

Outlook Email

  1. Be sure to log into Outlook Email WITHOUT the light version check box marked.

  2. Open the Calendar area in Outlook by clicking Calendar in the lower left corner.

  3. From the Outlook Calendar, Open the Share menu.

  5. In the Add Calendar window that opens, click the Name… button to open the Global Address Book.

  7. In the search box above, type the first word of the school calendar you would like your event to go to and hit Enter. From the search results list, Double Click on the school calendar, make sure it shows up in the Select box below, then click the OK button.

  9. You will be taken back to Calendar with both your personal calendar and the school calendar visible. You can turn off any calendars by clicking the X above each calendar or by un-checking the box next to the calendar name in your calendar list on the left. To turn them on, just check the box.

Tip: You can add as many calendars as you want, however it may be difficulty to view the event details the more calendars you are viewing at once. Larger screens and screen resolutions will allow you to see more detail with viewing multiple calendars.

Outlook 2010

  1. Open the Calendar area in Outlook by clicking Calendar in the lower left corner.

  2. Click the Open Calendar drop down menu.

  3. Select From Room List...

  4. The Global Room List window appears, scroll through it and double click the school calendar you want to view and click OK at the bottom.

  5. You will now be taken back to your Outlook Calendar with both your personal calendar and the school calendar up to view. You can see which calendar is which by the tabs at the top. You can also turn the each calendar on/off by checking or un-checking the box next to the calendar name in your calendar list to the left.

Tip: You can add as many calendars as you want, however it may be difficulty to view the event details the more calendars you are viewing at once. Outlook 2007

  1. Open the Calendar area in Outlook by clicking Calendar in the lower left corner.

  2. Click Open a Shared Calendar… under the People’s Calendars area.

  3. In the Open a Shared Calendar dialog box that opens up, click Name to select a name from the Address Book.

  4. The Global Address List will open up in a new window. Click the Address Book dropdown menu to reveal additional address list options.

  6. Here you can scroll through the list until you find the school calendar you want to view. Select the school calendar and click the OK button.

  7. The school calendar you selected will now show up in the Open a School Calendar dialog box, be sure the correct school is there and click OK.
