Reserve a Room

The following tutorial will assist you with reserving a room at the district office. If you do not see the room in the room list, contact the department who oversees that room.

One Time Setup

  • Log in to Outlook from your desktop shortcut or the start menu.
  • Click on “Calendar” button in lower left corner
  • On the top of your screen, select “Open Calendar” and then “Open a shared calendar”
  • Type “536” and click on a conference room
  • Click “OK”
  • Repeat this process until all 5 conference rooms are visible.

Reserving a Room

  • Log in to Outlook from your desktop shortcut or the start menu.
  • Click on “Calendar” button in lower left corner
  • Look to see if a room is available:
    • Click on the date you need the room
    • Click on the checkboxes next to each room
  • Once you have found an available room, UNCLICK the conference room checkboxes.  Make sure that the only box with a check in it is “Calendar” under “My Calendars” on the left side of your screen.
  • Click on the drop down arrow next to “New”

  • Select “Meeting Request”
  • Click the “To…” button and select room(s)

  • Select date and time
  • Complete as indicated in the graphic above.
  • Be sure to click the “Send” button!
  • Double check to see that your reservation is on the calendar for correct date and time
  • Call Sharon or Katie if you need assistance.
