Request an Event on a School Calendar

This tutorial will walk you through requesting events on a school calendar in outlook. You will not be able to edit school calendar events unless you have been given permission to do so. You can add school calendars to view in your outlook, which you can learn how to do in the tutorial called "View a School Calendar in Outlook".

To get started, first determine what version of Outlook you are using. If you are logging into Outlook through the district website, follow the instructions under the Outlook Email. If you are running an installed version of Outlook on your desktop or laptop computer, you can find the version that you are using by going to your Start Menu > All Programs > Microsoft Office, and there you will see if you have 2007 or 2010 installed. Follow the instructions below for the version of Outlook you are using.

Note: If you’re using a laptop computer, you must be connected to the district or school network to use the Outlook 2007 or 2010 desktop applications. If you are not able to do that or you are away from the district or school, you must use the Outlook Email here (https://mail.slcschools.org/owa).

Outlook Email

  1. Open the Calendar area in Outlook by clicking Calendar in the lower left corner.

  2. Make sure that the only box with a check in it is Calendar under My Calendars on the left side of your screen.

  3. Click on the drop down arrow next to New and select Meeting Request.

  4. Click on the To button to select the school calendar you want to request an event for.

  5. Click on All Rooms at the top left of the Address Book window that opens.

  6. In the search box above, type the first word of the school calendar you would like your event to go to and hit Enter. From the search results list, Double Click on the school calendar, make sure it shows up in the To field below, then click the OK button.

  7. You will be taken back to Meeting window. First make sure the correct calendar was entered into the To field. Next fill in the event title in the Subject field. Replace what is in the Location field with the room you are using or would like to use. This is very important if you are trying to reserve a room. Make sure the time and date are correct and add any description or additional information about your event in the notes area below. Make sure you DO NOT check the Private box. Review everything is correct and click Send at the top left of the window.

  8. After you click send, a tentative event will be added to your personal calendar in outlook. You will also receive an email stating that your request has been received and is pending approval. Once the calendar moderator checks that the room you’re requesting is open and that there are no other conflicts on that calendar, they will approve or deny your request, which will send you another email letting you know which.

 

Outlook 2010

  1. Open the Calendar area in Outlook by clicking Calendar in the lower left corner.

  2. Click on the New Meeting button on top left of the main tool bar. If you have multiple calendars open, you’ll need to choose New Meeting again.

  2. The Global Address List will open up in a new window. Click the Address Book dropdown menu to reveal additional address list options.

  3. Choose All Rooms from the Global Address List dropdown menu.

  4. Here you can scroll through the list until you find your school calendar. Double click on the school calendar, make sure that the correct calendar shows in the Required field, and then click the OK button.
